Put the conversation in context

See Who Needs a Response

Separate inboxes make it easy to lose track of a request. A healthcare CRM gives your staff a place to see the conversation, its owner and the next action.

We connect the tools in your plan, assign response responsibilities and test follow-up with your team.

What a HIPAA-Compliant CRM Must Have

A healthcare CRM stores names, phone numbers and appointment requests, so it handles protected patient information. Ask any vendor to show you each of these before you sign.

We walk through how KloudMD handles them for the workflows in your plan, and confirm the covered services and staff access before setup.

01

A signed BAA

A Business Associate Agreement covering the services that touch patient information.

02

Role-based access

Individual logins, with each staff member seeing only what their role needs.

03

Encryption

Patient information protected in transit and at rest.

04

An audit trail

A record of who viewed or changed patient information, and when.

05

Approved messaging

Texts and emails that include patient details sent through approved, secure channels.

06

Your data, exportable

A way to export your practice's records. With Brand Lift 360, your data and a CRM export stay yours.

This checklist is general guidance, not legal advice. Your practice remains responsible for its own HIPAA compliance program.

CRM and Software Questions

Ask us about your practice
What is a healthcare CRM?

It is software that helps organize inquiries, conversations and follow-up around your practice. It can connect available channel, task and appointment information so staff can see the next action. It does not replace your team’s clinical judgment.

Does Brand Lift 360 own the software?

No. KloudMD is the platform we configure and manage for your practice's marketing and patient communication workflows. Your agreement defines platform access, subscriptions and the services Brand Lift 360 provides.

Is the platform HIPAA compliant?

KloudMD is our HIPAA-compliant practice communication platform, with a Business Associate Agreement (BAA) provided for covered services. We configure access, data flows and staff procedures for your practice before use.

Will it work with my EHR or scheduling system?

We check the exact system, version, permissions and functions you need. Reading availability, requesting an appointment, creating a booking and synchronizing a record are different functions. We confirm the supported connection before implementation.

Does AI voice replace my front desk?

It can support routine administrative inquiries, overflow and after-hours coverage where enabled. We define approved information and staff transfer rules. Your team keeps responsibility for patient care and important decisions.

Can my team still respond manually?

Yes. The workflow includes staff ownership and human handoff. We agree which replies can be automated and when a person should take over.

Can you tell which source produced a booking?

Where reliable tracking and scheduling data support it, reporting can connect sources with appointments. Unknown, assisted and missing sources remain visible. Complete attribution is not guaranteed.

Can I export my data?

You retain your business data, with access and export arrangements defined in your agreement. Continued use of licensed software may require an active subscription.

Are all software features included in every plan?

No. The healthcare CRM is included at no extra cost in Growth and Authority. Voice + Text AI depends on your plan: Growth includes a 30-day trial and Authority includes it. Integrations and usage are confirmed in your scope. View plans and pricing →

Workflow capabilities depend on the enabled software and confirmed integrations. Review HHS’s Security Rule overview for the importance of administrative, physical and technical safeguards.
